Essential Duties and Responsibilities:

  • Provides administrative support to the MD SPCA Development staff involved with special events and individual, corporate, and foundation fundraising.
  • Answers the main telephone number, greets and directs visitors and deliveries, places orders, receives and distributes supplies, and maintains functionality of printers.
  • Prepares correspondence and mailings, particularly large volumes of invitations and solicitation letters and packets.
  • Maintains donor files (including hard copy when needed and electronic) and inventory of printed materials.
  • Enters gifts, address changes and biographical information into Raiser’s Edge for Development.
  • Researches missing or incomplete address information for donors and identifies/merges duplicate records in database.
  • Manages online giving portals for all programs including @Pay, Faithful Friends, and Auto Donation Programs.
  • Creates merge files for donor acknowledgements and memorial/tribute notifications.
  • Adheres to consistent processing guidelines to ensure timely/quality entry of gifts and biographical data.
  • Coordinates with the Donor & Database Manager and development team regarding designation of gifts to proper funds, appeals, campaigns and any other pertinent codes.
  • Attends events as needed, including evenings and weekends, performing such tasks as event registration, set-up, clean-up and assisting other Development staff as needed.
  • Sorts and distributes Maryland SPCA mail daily, sends out daily gift log, checks obituary section to update database on a weekly basis.
  • Sends donor lists to True Sense to send thank you $249 and below.
  • Ensures all gifts recorded in Raiser’s Edge.
  • Counts the checks and runs tape, gives envelop to Donor & Database Manager.
  • Accurately monitors and adheres to donor gift entries, migrates donors, and assists Donor & Database Manager with other duties.


  • Two years of college or clerical training beyond high school required.  College degree preferred.
  • High degree of skill, competence, self-confidence and confidentiality.
  • Preference to candidates with Raiser’s Edge and previous Development experience or data base experience.
  • Computer skills in Microsoft Word and Excel, including experience performing mail merges using Microsoft Office.
  • Critical thinking skills to enable appropriate responses to telephone and personal encounters.
  • Committed to and enthusiastic about the mission, programs and services of the Maryland SPCA.

Physical Demands:

  • Frequent sitting, with some standing, walking, bending and reaching
  • Use of computer keyboard and telephone
  • Event support work requires some lifting and physical activity

Working Conditions:

  • Work is performed in an office setting
  • Infrequent exposure to animals
  • Occasional exposure to high noise when in kennel area
